User Profile

Overview

The Profile page lets you view and update your personal account information. These settings are global — they are tied to your user identity and apply across every organization you belong to in ZappWay. To access your Profile:

└── Bottom-left corner → Your Avatar / Name → Profile
    ├── Personal Information (name, email, phone)
    └── Profile Photo (upload, update, remove)

Editable Information

Display Name

Your name is shown throughout the platform wherever your identity is surfaced:
  • As the agent label when you take over a conversation in the Inbox
  • In conversation assignment notifications sent to teammates
  • In audit logs and activity records
  • In billing and account-related system emails
To update your name:
  1. Navigate to your Profile page
  2. Click on the Name field
  3. Enter your updated name
  4. Click Save

Email Address

Your email is the primary identifier for your ZappWay account and is used for:
  • Login authentication
  • Billing notifications and invoices
  • System alerts and invite emails
  • Password reset flows
For security reasons, your email address is read-only and cannot be changed directly from the Profile page. If you need to update your email, contact support@zappway.ai with a request from your current registered address.

Phone Number

An optional contact number associated with your account. This field is used for:
  • Account recovery (if enabled)
  • Enterprise support escalations
To add or update your phone number:
  1. Navigate to your Profile page
  2. Click on the Phone field
  3. Enter your number including country code (e.g., +1 555 000 0000)
  4. Click Save

Profile Photo

A profile photo helps your teammates identify you quickly when reviewing the Inbox, checking logs, or managing conversation assignments.

Uploading a Photo

  1. Navigate to your Profile page
  2. Click on your current avatar or the camera icon overlay
  3. Select an image from your computer
  4. The image is processed and updated automatically — no additional save step required
Supported formats: PNG, JPG, WebP Recommended size: At least 200×200 px (square images work best) Max file size: 5 MB

Removing Your Photo

To revert to the default generated avatar:
  1. Navigate to your Profile page
  2. Hover over your current profile photo
  3. Click the delete icon (trash icon overlay)
  4. Your avatar resets immediately to the platform default
Keep your name and photo up to date. When multiple agents work in the same Inbox, a recognizable name and avatar makes it significantly faster to identify who is handling which conversation — especially during high-volume periods.

How Profile Information Is Used

Your profile data is used in the following places across ZappWay:

Security & Privacy

  • Profile information is visible to other members within your shared organizations
  • Your email is never shared with third parties outside of what is described in the Privacy Policy
  • Profile photos are stored securely and served via CDN
  • Removing your account deletes all associated profile data — contact support@zappway.ai to request account deletion

Troubleshooting

Issue: Profile Photo Not Updating

Symptoms:
  • Uploaded image appears to save but reverts to the old photo
  • Photo update spinner never completes
Solutions:
  1. Verify the image is under 5 MB and in a supported format (PNG, JPG, WebP)
  2. Try a different browser or disable browser extensions
  3. Clear your browser cache (Ctrl+Shift+R / Cmd+Shift+R) and retry
  4. Try compressing the image before uploading

Issue: Name Change Not Reflecting in the Inbox

Symptoms:
  • Updated name still shows the old value in conversation assignments
Solutions:
  1. Confirm the save was successful — look for the confirmation message after saving
  2. Refresh the Inbox page (F5 or Ctrl+R)
  3. If other team members still see your old name, ask them to refresh their sessions
  4. Contact support@zappway.ai if the issue persists after 5 minutes
